Conference Content Coordinator (Contract)

New York City or Remote

We are looking to grow our Events Content Team by welcoming a Content Coordinator. This role will work closely with the Project Manager and Content Strategist to help ensure the successful execution of agenda content at MongoDB World and MongoDB.local events.

To succeed, you’ll need to be able to juggle multiple priorities, have great attention for details, and be ready to pitch in wherever necessary. You should feel comfortable interacting with a variety of people, internally and externally, and should know how and when to manage up. You know Google apps for business like the back of your hand and thrive in a fast-paced environment with a smile on your face. This position is ideal for a highly organized individual who takes ownership of the details and loves to get things done.

Responsibilities

  • Create, send and track correspondence, spreadsheets, slide decks
  • Customize templates for emails to event speakers 
  • Track action items and logistics for each event’s content roster, with a high degree of accountability
  • DAM (management of pre and post-event assets - slides, photos, video, etc.)
  • Manage the Speaker Coaching calendar, coordinating rehearsal meetings and workshops, including video conferencing, room reservations, recordings and team workshops
  • Schedule, plan, and track speaker rehearsal sessions 
  • Manage travel and expenses for external speakers on an as-required basis
  • Assist with special assignments/projects, as needed
  • Works closely with our internal and external A/V and IT teams to coordinate speaker requirements 
  • Manage multiple requests and priorities – staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs

Requirements

  • 2+ years of experience as an EA as a marketing/events coordinator, recruiting coordinator or similar roles
  • Bachelor's Degree or equivalent work experience is preferred
  • Extremely well organized and detail-oriented
  • Very strong verbal and written communication skills
  • Proficiency with Google Apps (Gmail, Google Docs, Google Sheets, Google Slides, Google Calendar) and video conferencing tools
  • Creative, flexible, and innovative team player
  • Able to handle highly sensitive and confidential material
  • Able to work autonomously with little direction and make decisions as needed, know when to escalate as needed
