Office Manager (EMEA)

MongoDB is seeking an Office Manager with a career goal in business operations/facilities management.   • Do whatever is necessary to remove distractions and keep the team happy, productive and growing the business
  • Maintain accurate documentation pertinent to the operation of the business in a confidential manner
  • Ensures the office work environment is as good as possible for employees and the office is operated and maintained in a safe, professional and cost-effective manner
  • Manage VOIP phone system and teleconference bridge accounts
  • Partner with HR in onboarding new employees
  • Partner with Marketing in coordinating onsite meetings, events, training and meetups
  • Oversees cleaning services, food service operations and the repair and maintenance of equipment
  • Daily inspects the office and prepares and maintains an office standard checklist
  • Keeps management informed by reviewing and analyzing special reports, summarizing information and identifying trends
  • Maintains a purchasing database for adherence to Operating budgets
  • Coordinates travel arrangements and processes related expense reports for the EMEA VP
  • Helps plan and coordinate company events and meetings
  • Receives and sorts mail, packages and deliveries and ensures customer satisfaction by backing-up the Coordinator First Impressions at the lobby desk
  • Arranges catering and oversees restocking of supplies for pantries and conference rooms
  • Handles: office service requests, intra-office moves, space utilization and planning, facilities management, office specific capital and expense budgets, processes invoices for payment, reviews and approves supply requisitions and purchases office equipment and supplies
  • For specifically assigned facility projects - works closely with contractors, architects, engineers and specialty consultants and monitors vendor relationships and performance

Education & Experience

  • 3/5 years office management/operations experience, ideally degree qualified
  • Knowledge of customer service principles and practices as well as administrative and financial controls
  • Proficient user of technology as well as MS office applications

  • Willingness to travel up to 20% to remote office locations throughout Europe
